About this role

Straight talk

You won't be the person who makes coffee and forwards calls. You'll be the person without whom the whole operation falls apart.

As Assistant to the CEO, you make sure everything runs smoothly behind the scenes. Bookkeeping prep, scheduling, communication, office management, finances, authorities - you keep the operational foundation solid so the business can grow.

Brixon is a B2B marketing agency in Malta. Small team, growing, international. That means: you get responsibility from day one.

1. Finance & Bookkeeping

You prepare the books - you don't do them. That means: sorting receipts, creating and sending invoices, following up on overdue payments, reconciling bank statements with receipts. You communicate with the accountant, prepare audits, and keep the monthly financial overview up to date. When an invoice is overdue, you don't wait for someone else to notice.

2. Administration & Office

Scheduling, email triage, tracking follow-ups. You make sure requests don't disappear into the void and deadlines are met. Office supplies, mail, equipment management, cleaning, landlord - everything that keeps the office running is your domain.

3. HR & Onboarding

New team members need a shared flat, a MacBook, access credentials, and someone who has the overview. That's you. You pre-screen applications, coordinate interview scheduling, and organize team events when they happen.

4. Legal, Compliance & Authorities

Malta has its own rules. Company registrations, licenses, insurance, renewals - you track what's due when and make sure nothing expires. You handle communication with authorities or prepare it so it can be done in five minutes.

5. Personal Support

Doctor's appointments, travel bookings, restaurant reservations, personal errands, vehicle matters. Everything that sits on the to-do list and stays there because the day only has 24 hours.

Requirements

What you should bring

  • Organizational talent that's not an act. You have a system. Whether it's Notion, Excel, or sticky notes - as long as nothing slips through
  • Reliability. When you say it's done, it's done. Not almost done. Not done tomorrow. Done
  • Discretion. You'll have access to finances, personal matters, and confidential information. That stays with you
  • English. Fluent written and spoken - our day-to-day is international. German is a plus
  • Initiative. You don't wait for instructions on things that obviously need to be done
  • Experience in a similar role is a plus, but not required. What matters more is how you work, not where you've been

This is not a rigid 9-to-5 job. Some weeks are 10 hours, others 20 - depending on whether there's an audit coming up, new people starting, or just normal operations. Flexibly distributed, you organize your own time.
